The Opportunity

We’re looking to fill a Payroll & Human Resources Coordinator position at RFA Bank of Canada!

Reporting to the VP, Human Resources, the Payroll & HR Coordinator is primarily responsible for providing HR support to RFA Bank, MC and Labs. The core focuses include, but are not limited to, recruitment, administering HR programs, and ensuring up-to-date reporting and tracking of all HR data. The individual will also support RFA’s payroll policy and processes, ensuring adherence to all Canada Revenue Agency legislation. This role is also responsible for processing payroll and coverage for all RFA business lines in the absence of Payroll counterparts, as required.

Core Responsibilities

As the Payroll & HR Coordinator, you will:

Data Management and Reporting:

- Set up and maintain employee data in the HR database.

- Maintain human resources records by managing and maintaining:





The Careers website; onboarding and offboarding procedures; changes in roles and job classifications; compensation and benefits administration; policies and procedures as outlined in the Employee Handbook.

- Prepare HR reports and presentations, as required.

- Manage leave and sickness absence records and advise employees on entitlements.

- Oversee probationary periods, liaising with managers and send reminders, as required.

- Comply with federal and provincial legal requirements by remaining educated on the Employment Standards Act; enforcing adherence to requirements; and, advising management on needed actions.

- Deliver other projects, as assigned, to support the HR team in providing first-class HR service to the business.







- Provide finance with monthly reports in relation to benefits and employee costs

- Support the Business with any special projects that are needed in the HR function

- Performing other duties and assist with special projects, as required

Talent Acquisition:

- Conduct talent acquisition activities, including job posting creation, screening resumes, scheduling interviews on behalf of hiring manager, assessing candidates, and negotiating employment terms.

- Provide guidance and counsel to hiring managers throughout the hiring process.

- Prepare employee offer letters and orientation documentation, ensuring all requisite pre-employment requirements are met, and conducting onboarding of new hires







- Orient new employees by providing orientation information packets; reviewing company policies; gathering, withholding and other payroll information, and explaining benefit programs.

Payroll:

In this role, you will be primary backup to our payroll specialist:

- Process payroll entries two a quarter, including new hires, terminations, salary changes, transfers to disability or leave of absence, changes to employee information or deductions, etc.

- Prior each payroll submission, review salary, benefits, RRSP and any other entries on payroll register against approved input documents; forward the payroll register audit trail and reconciliation to the person in charge for review and sign-off.

- Review and process all employee information as it relates to the onboarding of new employees.







- Complete data files for transmission to Ceridian prior to deadline; enter approved changes to Ceridian Payroll.

- Book payroll expenses in a timely manner upon payroll being processed.

- Prepare monthly filings and annual reconciliations.

- Maintain confidential payroll/benefits files for all employees; file documents in the files as required and ensure appropriate document retention.

- Maintain and update a spreadsheet to track employee RRSP plan eligibility, enrolment and any changes.

- Enter approved changes into benefit systems regarding group health benefits and the group RRSP, as required (new hires, terminations, any salary changes, dependent changes etc.); enter in Payroll as required.







- Support or Process annual bonus payments and annual RRSP contributions as per the Company’s bonus cycle.

- Respond to employee queries regarding health benefits and RRSP transactions, and notify the HR team of any issues requiring resolution.

- Support or Prepare reports from the payroll system to provide statistical information to HR and management, such as numbers and locations of new hires and terminations.

- Maintain up-to-date knowledge of the Canada Revenue Agency requirements for Federally and Provincially-regulated companies, and communicate updates or changes to the HR team in a timely manner.

What You’ll Need to Succeed

- Completion of Payroll courses or working towards designation is required, completed PCP Certification preferred;







- Minimum of 3 years related experience in compensation and payroll for Federally-regulated and Provincially-regulated organizations

- CHRP, CCP, CPA designations an asset

- Minimum 2 years of progressive experience in a Human Resources position.

- Demonstrated Excel skills, including the ability to work with large data sets, knowledge of HRIS and reporting systems and all MS office applications.

- Excellent communication skills (written, verbal and presentations) with the ability to influence others

- Solid knowledge of HR practices, including knowledge of compensation, job evaluation, and benefits concepts and tools
