Job Overview:

We are seeking a detail-oriented and organized Administrative Assistant with proficiency in QuickBooks to join our team. The ideal candidate will be responsible for handling various administrative tasks while managing the financial records and transactions in QuickBooks. This role requires a candidate with a blend of administrative expertise and experience in accounting or bookkeeping.

Key Responsibilities:

- QuickBooks Management:
- Maintain accurate financial records using QuickBooks.






- Enter and reconcile daily financial transactions such as sales, payments, and expenses.
- Prepare invoices, manage accounts payable/receivable, and ensure timely payments.
- Assist in generating financial reports including profit/loss statements, balance sheets, and cash flow statements.
- Track and manage inventory or project expenses as needed.
- Administrative Duties:
- Provide general administrative support including managing correspondence, scheduling appointments, and handling incoming calls.
- Assist with office management tasks such as ordering supplies and maintaining files (digital and physical).
- Support in preparing reports, presentations, and other documents as needed.
- Assist in organizing company events, meetings, and travel arrangements.
- Payroll Support:
- Assist with payroll processing through QuickBooks or coordinate with the payroll provider.
- Handle employee reimbursements and track expenses.
- Communication & Coordination:






- Act as a liaison between departments to ensure smooth communication and efficient operations.
- Provide customer service support as needed, handling inquiries and directing calls appropriately.

Qualifications:

- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field is preferred.
- Experience:
- 2+ years of administrative experience.
- 1-2 years of experience using QuickBooks for accounting/bookkeeping tasks.
- Skills:
- Proficiency in QuickBooks (Online or Desktop) and MS Office Suite (Word, Excel, PowerPoint).
- Strong organizational skills and attention to detail.
- Excellent communication and customer service skills.
- Ability to prioritize tasks, multitask, and manage time efficiently.






- Basic understanding of accounting principles.

Preferred Qualifications:

- Experience with payroll processing.
- Familiarity with tax filing and regulatory requirements.
- Ability to troubleshoot basic QuickBooks issues.

Salary Range:
$20.00 an hour

Shift:
3 days a week

Job Type: Part-time

Pay: $20.00 per hour

Expected hours: 24 per week

Flexible language requirement:

- French not required

Schedule:

- Monday to Friday

Ability to commute/relocate:

- Winnipeg, MB R3G 0P5: reliably commute or plan to relocate before starting work (preferred)

Education:

- Secondary School (preferred)

Experience:

- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
