Who we need
Reporting to the Manager, Real Estate, we have a new opportunity for a Real Estate Coordinator.
You will provide administrative support and be integral to our success and speed by keeping us organized and on top of everything. You will manage incoming and outgoing communications, direct invoices, agreements, and other critical documentation as needed.
This is a fully remote role, working 25 hours a week. You will have the flexibility to set your own hours, with some parameters. You may be invited to join the team onsite in Toronto up to three times a year.

You may bring an office support or administrative background perhaps in a legal or corporate environment. You are meticulous, thorough, and organized. You appreciate the opportunity to work flexible hours and are willing to jump in wherever you are needed.

What you will do:
- Manage documentation. You will receive, sort, distribute, and flag incoming and outgoing communications, ensuring the appropriate department or individual receives the document and responds in a timely manner. You will follow up to confirm issue resolution and provide support as needed. You will assist the Lease Administrator with creating and disseminating documents, reports, and presentations.
- Support projects. You will assist with obtaining and confirming details for documentation related to new site builds and other projects as assigned. You will review details and track deliverables in a project management system, updating milestones and status on a daily basis.
What you bring:
- The experience. You have worked as an administrative or project coordinator,
managing correspondence and project plans involving internal and external stakeholders. You have experience managing customer or client inquiries, retrieving and relaying accurate responses to eliminate concerns and build trust.
- The drive. You can prioritize tasks, manage multiple projects simultaneously, and meet competing deadlines. You take the initiative to ask probing questions to gain insights and confirm accuracy.
- The technical skills. You are proficient in MS Office, and you may have exposure to project management tools. You can quickly learn new software and systems. You have experience creating documentation and presentations and entering information into a database.
- The interpersonal skills. You take a people-centric, transparent communication approach to your work.
You have professional and flexible written and verbal skills. You can adapt your messaging to fit any type of audience, from executive leaders of major corporations to engineers and crews to concerned citizens in remote communities. You are equally comfortable making phone calls as you are responding to emails.
