The Quality Improvement Administrative Assistant will provide essential support for quality initiatives within the Department of Obstetrics, Gynecology, and Newborn Care.
This role involves managing administrative tasks for quality assurance activities, coordinating meetings, and providing general support to leadership. The Administrative Assistant will help facilitate quality programs and initiatives across the department.
Key Responsibilities:
Support for Quality Lead and Leadership Team:
- Prepare agendas and take meeting minutes for meetings related to quality programs.
- Follow up on action items and ensure timely completion.
- Manage the calendar and provide administrative support to quality program leaders.
- Assist with key projects, presentations, working groups, and action items related to the quality programs.
Administrative Support for Training and Workshops:
- Organize and book meetings, manage logistics, and coordinate with relevant departments or external partners for access, equipment and catering needs.
- Develop and distribute workshop materials such as invitations, posters, and save-the-date notices.
- Manage the registration process, track attendees, and ensure that necessary steps (certifications,
evaluations) are completed before workshops.
- Provide day-of support for events, including managing attendance, distributing materials, and overseeing logistics.
General Meeting & Project Updates Support:
- Provide administrative support for quality-related committees, including agenda creation, minute-taking, managing calendar invites, and following up on action items, meeting summaries, project updates, and other follow-up actions.
- Coordinate with team leads and ensure timely communication of updates.
Skills and Qualifications:
- Strong organizational and administrative skills.
- Excellent communication and interpersonal abilities.
- Proficiency in minute-taking, agenda preparation, and follow-up on action items.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- High attention to detail and strong problem-solving skills.
Education and Experience:
- Diploma in office administration, business, or a related field is preferred.
- Experience in administrative support, office management, or project coordination is desirable.

Administrative staff are employees of the Department of Obstetrics, Gynecology and Newborn Care. The Ottawa Hospital (TOH) acts as the paymaster of our employees. Although our employees have offices within TOH, they are not employed by TOH.
Job Type: Fixed term contract
Contract length: 12 months
Pay: $25.38-$28.48 per hour
