We are seeking a detail-oriented and proactive Administrative Assistant who thrives in a dynamic, fast-paced environment. Successful candidates will have excellent customer service skills and a strong ability to manage multiple tasks under pressure with tight deadlines. Attention to detail is essential.

Position Summary:
Reporting to the Manager of the Nova Scotia branch, the Administrative Assistant provides high-quality administrative and organizational support to staff and other team members as assigned. Duties include, but are not limited to:
- Acts as general administrative support to members of the team, including filing, scanning, faxing, etc.
- Responds to client inquiries via phone, email, and website.
- Attends meetings and takes and produces minutes as required.
- Orders and maintains office supplies.
- Answers phone calls,
relays messages, and refers calls with follow-up as appropriate.
- Prepares project files and maintains digital and physical filing systems.
- Prepares outgoing shipments and manages incoming shipments and couriers.
- Greets clients in the office and provides general information regarding our services.
- Performs basic data entry as required.
- Assists in scheduling and coordinating appointments and meetings.
- Supports in preparing reports and presentations as required.
- Handles sensitive information with the highest degree of integrity and confidentiality.
- Effectively prioritizes and manages multiple tasks to meet deadlines.
- Other administrative duties as assigned.
Hours of Work:
Monday – Friday (8:00 am to 5:00 pm).
Flexibility for occasional overtime may be required.
Qualifications:
- Minimum of a High School Diploma or G.E.D. required.
- Graduate from a recognized Office Administration Program preferred.
- Minimum one (1) year experience in a related administrative/secretarial role.
- Advanced working knowledge of MS Office 365 programs required.
- Keyboarding skills with a minimum of 60 wpm required.
- Proven team player with excellent communication and interpersonal skills.
- Excellent organizational skills and flexibility in meeting workload demands.
- Demonstrated ability to work respectfully with a variety of inter-professional team members.
- High degree of initiative, diligence, attention to detail, and self-discipline.
- Ability to adapt to new software and technology as required.
- Strong problem-solving skills and the ability to adapt to new challenges.
