Full job description
Job Overview:
The Calgary Fiddlers Association is seeking a detail-oriented and organized Part-Time Bookkeeper to manage the financial records of the organization. The Bookkeeper will be responsible for maintaining accurate and up-to-date financial information, preparing regular financial reports, and assisting with budgeting and audits.
This role is crucial in ensuring that the association meets its financial obligations and continues its mission of supporting young musicians.
Key Responsibilities:
- Maintain accurate financial records, including journal entries, ledgers, and reconciliations.
- Prepare monthly financial reports such as the balance sheet, income statement, and cash flow statement.
- Process payments, monitor account balances, and manage transactions through Internet banking platforms.
- Working with the Executive Director and Operations Manager: Prepare performance invoices and send to clients. Prepare tuition invoices and send to fiddle students.
- Process manual credit card transactions for performance invoices and tuition.
- Manage accounts payable and receivable, including tracking outstanding invoices and payments.
- Monitor and report on the organization's cash flow, ensuring liquidity for ongoing operations.
- Process payroll and track employee expenses (if applicable).
- As required prepare Charitable tax receipts and thank you letters for donors.
- Assist in preparing grant and fundraising financial reports.
- Assist in preparing the annual budget and monitor the budget vs. actual performance.
- Ensure compliance with CRA reporting requirements, including GST/HST filings and annual reports.
- Assist with financial audits and provide necessary documentation and support to auditors.
- Manage and maintain accounting software and ensure records are kept in accordance with applicable financial regulations and policies.
- Collaborate with the Executive Director and Board of Directors on financial planning and forecasting.
Qualifications:
- Diploma or certificate in accounting, bookkeeping, or a related field.
- Minimum of 2 years of experience in a bookkeeping or similar financial role, preferably in a non-profit environment.
- Proficiency in QuickBooks Online and Microsoft Office (Excel, Word, OneDrive).
- Manage and organize receipts, invoices, and expenses using DEXT software to ensure accurate and efficient financial record-keeping.
- Working knowledge of internet banking platforms for managing payments, transfers, and account reconciliation.
- Strong understanding of accounting principles and CRA regulations for non-profits.
- Excellent attention to detail, organizational skills, and the ability to manage multiple priorities.
- Strong communication skills, both written and verbal, to effectively report financial information.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Experience in the non-profit or arts sector.
Compensation:
- Compensation will be commensurate with experience and discussed during the interview process.
- Expected commitment of 15 hours per month.
