The Opportunity

Keyano College's Office of the Registrar is on the lookout for a full-time Scheduling and Articulation Coordinator to join their team! Working closely with the Supervisor – Scheduling & Registration, this position is responsible for the creation and management of the academic timetable, course catalog, graduation processing, and articulation and transfer agreements. The role involves close collaboration with program Chairs, Deans, and the Assistant Registrar to ensure accurate scheduling and seamless management of student records. This position also acts as a liaison for articulation and transfer agreements with external institutions and provides support to the student records department.

Duties & Responsibilities

- Develop academic timetables in consultation with Chairs, Deans, and the Assistant Registrar using Infosilem Suite, ensuring no course conflicts.
- Collect and organize scheduling data, including course loading sheets and constraints from departments.






- Distribute draft timetables to Chairs and Deans for review, making adjustments as needed.
- Process scheduling changes and cancellations for credit and non-credit courses upon approval.
- Create sections for non-credit courses based on the Continuing Education loading sheet.
- Develop final exam schedules for Fall and Winter terms using Infosilem Exam Scheduler.
- Maintain the course catalog in PowerCampus, implementing updates approved by the Academic Council.
- Collaborate with the Assistant Registrar to process student graduations and issue parchments and transcripts.
- Issue Dean’s List and President’s List letters to eligible students.
- Serve as the Keyano College contact for the Alberta Council on Admissions and Transfer (ACAT) and manage communication with Alberta institutions.






- Manage the creation, modification, and deactivation of course and program offerings in the ACAT system.
- Monitor changes from Academic Council and update ACAT proposals as needed.
- Create new articulation and transfer agreements and maintain existing agreements, including advanced credits and letters of permission.
- Process requests for parchment replacements, transcripts, and exam-related requests (deferred, supplemental, challenge exams).
- Retrieve student records from archives for legal and FOIP requests and manage tuition waivers for credit and non-credit courses.

Qualifications

- Bachelor’s degree in Business, Technology, or a related field is preferred. Equivalent education and experience may also be considered.






- Minimum of 2 years of experience in a post-secondary environment, preferably within a Registrar’s Office.
- Experience with Student Information Systems and/or scheduling software (e.g., Infosilem, PowerCampus) is highly preferred.
- Knowledge of the Freedom of Information and Protection of Privacy (FOIP) Act and policies related to student records.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and experience with databases.

Compensation and Benefits

- Compensation is $59,081.35 per annum as per the CUPE AS6 collective agreement.

- This position qualifies for additional payment of the Northern Living Allowance of $1,040.00 per month (This allowance is reviewed annually and is subject to budget approval).
