Your Opportunity
We are currently seeking an experienced Receptionist for our Vancouver, BC office to provide high level front desk, administration and customer service support.
As the face and voice of Stantec, the successful candidate must have demonstrated experience in a similar role, have a high degree of professionalism and corporate communication skills, be professionally presented,
have superior organizational skills with the ability to focus on multiple tasks and changing priorities and have a mature approach and confidence in dealing with a wide range of clients (both internal and external) and business partners.
Your Key Responsibilities
- Create a great first impression, and interface in a professional and positive manner while greeting clients and vendors both in person and over the phone, including managing the visitor registration process.
- Coordinate shipping and receiving of mail/packages.
- Answer a VOIP phone system and effectively route calls.
- Handle conference room scheduling.
- Ensure conference rooms are always presentable for continuous meeting throughout the day.
- Assist with executive meeting set-ups/clean-ups as requested.
- Assist with hotel station booking system.
- Maintain the reception area on 11th floor.
- Respond to staff needs in a timely and effective manner.
- Invoice coding.
- Flexibility with early morning starts if early meetings booked.
- Opening and/or closing duties.
- Other duties, as assigned.
Your Capabilities and Credentials
- Computer proficiency, especially within the Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe.
- The ability to lift 15-25lbs (office supplies, cases of paper).
- Excellent customer service skills.
- The ability to work well under pressure, deal with difficult situations and/or people, take initiative, demonstrate organizational and detail-oriented skills and juggle multiple responsibilities in a deadline-driven environment.
- A positive, proactive attitude, high-energy level, flexibility, dependability and willingness to learn new skills and be a team player
Education and Experience
- The ideal candidate will have 0-2 years of professional experience operating in an administrative office support/receptionist capacity with demonstrated skill to support a business effectively.
- A High School Diploma in addition to some higher education and/or work experience equivalent.
Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
