Position Summary: The Office Administrator Coordinator will play a vital role in managing daily administrative tasks while facilitating, communicating, and collaborating among team members. This individual will be responsible for coordinating schedules, handling inquiries, and maintaining efficient office operations in a virtual environment. The ideal candidate will possess excellent organizational and communication skills, with a strong ability to multitask and prioritize effectively.
Key Responsibilities:
- Administrative Support: Perform general administrative duties, including managing emails, scheduling meetings, and maintaining electronic files and records.
- Team Coordination: Act as the main point of contact for all staff members, ensuring everyone is informed and aligned on organizational goals and initiatives.
- Scheduling:
Coordinate and manage calendars for team meetings, events, and appointments, ensuring optimal use of time and resources.
- Communication Management: Handle inquiries from team members and external stakeholders, responding promptly and professionally via phone, email, and messaging platforms.
- Outreach: Reach out to potential partners, vendors, and community members to foster relationships and support organizational initiatives.
- Reporting: Assist in tracking project progress and outcomes, providing regular updates to leadership to ensure accountability and transparency.
- Process Improvement: Identify opportunities for enhancing office operations and propose solutions to improve efficiency and effectiveness.
Qualifications:
- Experience in business administration or a related field is preferred.
- Proven experience in an administrative role, preferably in a nonprofit or virtual environment.

- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite and virtual collaboration tools (e.g., Zoom, Slack, Google meet/ Workspace).
