Job Description

Facilitates the efficient operation of the Support Services Program. Duties will include providing administrative support to the Director of Support Services, and all Managers within the portfolio. This will include composing and typing correspondence; answering the telephone; scheduling meetings; maintaining files; updating records; photocopying; working on projects; payroll entry; issuing purchase orders for the department. The Assistant will also support department program administration including database management of Key Tracer, Orange QC, and Connections Department Home Page. This role acts as a liaison on behalf of the department with internal and external customers, promotes effective communication and accountability.





Maintaining confidentiality and integrity in all work practices.

Qualifications

- Office Administration Diploma required;
- Minimum of 3 years’ experience in a comparable position required Proficient in the use of Microsoft Office applications including Word, Excel, Access and PowerPoint required
- Experience working in a Hospital Support Services department (Environmental Services or Food Services) preferred
- Experience working in a hospital setting preferred
- Experience using a computerized database systems would be an asset






- Minimum 50 wpm typing speed required
- Experience taking minutes of meetings required
- Demonstrates ability to effectively prioritize and organize multiple projects with strict deadlines
- Demonstrated tact, diplomacy and confidentiality
- Exceptional customer service skills
- Self-directed and able to work effectively with minimal supervision
- Able to meet the physical demands of the position which requires frequent sitting, standing, bending and reaching
- Satisfactory employment and attendance record required
- Providing administrative and clerical support to the core Management Team
- Acts as a liaison on behalf of the department with internal and external customers.
- Ensures that work practices are in keeping with Hospital and Departmental standards






- Demonstrates fiscal responsibility in the use of organizational resources.

Additional Information

Hours: Monday to Friday, 8:00 am - 4:00 pm (subject to change based on operational requirements) Occasional travel to other sites required

Salary: $26.49 to $33.11 per hour
