As the Service Coordinator for our Combustion Service Team, you will gain experience with coordinating and supportive all aspects of service operations, ensuring seamless communication between technicians, customers, vendors, and internal teams. The ideal candidate will excel in managing schedules, tracking service activities, and providing exceptional customer service, with strong organizational and administrative skills.
In this role, you will work closely with our Manager of Technical Services (Combustion Division) from our Markham Head Office. This position is classified as associate level with the opportunity to develop into a more advanced role (Lead Service Coordinator) in the future.
DUTIES & RESPONSIBILITIES:
Service Coordination:
- Coordinate all service processes, including detailed appointment creation, scheduling,
and technician dispatch based on customer needs, technician capabilities, and logistics.
- Prioritize and dispatch emergency and non-emergency service requests based on urgency and importance.
- Act as the primary point of contact for customers and vendors regarding service requests, quotes, orders, invoices, and material shipments.
- Monitor and communicate scheduling lead times, ensuring technicians’ attendance and job completion confirmations are accurately reported.
Administrative Support:
- Review technician field reports and assist in preparing quotes for basic maintenance needs, escalating complex issues as needed.
- File site safety-check and service reports for future reference and assist the Accounts team by providing historical data for receivables and payables processing.
- Organize and track job-specific Bills of Materials for technician pick-up or delivery to the site, confirming physical receipt of material shipments.
- Monitor limited in-stock inventory and re-order parts when necessary to maintain operational continuity.
- Open and manage new work orders, ensuring technicians are provided with all necessary information for job completion.
Customer Service & Problem-Solving:
- Provide a high level of customer service by addressing problems promptly and relaying relevant information to project managers, sales teams, and technicians.
- Handle incoming service calls and emails, recording critical information and ensuring smooth communication across all parties.
- Assist with administrative or customer service-related tasks as required to support smooth operations.
- Assist with administrative or customer service based requests as required.
WHO YOU ARE:
- An individual with at least Two (2) years of service coordination experience, preferably in the Combustion (or a relevant) industry.
- Brings knowledge of combustion processes and/or experience working in or around fast-paced 24/7 industrial production facilities.
- An innate problem solver, identifying and analyzing problems and producing creative and effective solutions.
- A fast thinker who can pay close attention to detail.
- Stays on task when working independently.
- Works well in a group setting with multiple personnel contributing to one goal.
- Highly organized, with proficient use of organizational tools, including but not limited to collaborative calendars, Excel, and project management software.
- Excellent communication and interpersonal skills, both verbal and written
