Position Summary
The Office Administration Coordinator is responsible for a broad range of administrative functions to support the Dean’s mandate. This position calls for the exercise of leadership in the coordination of support services and provides functional guidance to the Administrative Assistant. This position must have a thorough knowledge and understanding of University and Faculty policies and procedures. The Assistant works regularly with confidential information and other materials. In addition, the Coordinator supports the Senior Administrative Officer with regard to Faculty Relations and special projects.
Accountabilities
Administrative Duties
- Provides daily functional guidance to the Administrative Assistant to oversee the administrative functions of the Dean’s office;
- Advises and updates Dean on pertinent information using good judgment and maintaining confidentiality;
- Responds independently to administrative concerns and requests from students, coordinators, faculty, staff, and visitors that require rapid assessment or assistance;
- Creates and tracks annual administrative calendar of activities providing assistance for a wide range of departmental reporting requirements;
- Coordinates other faculty initiatives and special projects as required;
- Works closely with Senior Administrative Officer regarding Collective Agreement issues;
- Maintains and updates the department web pages;
- Provides backup support to the Administrative Assistant during absences;
Qualifications
- Secondary plus 1 year post-secondary, plus 3 to 4 years of related work experience;
- Solid understanding of the Full-time and Part-time WLUFA Collective Agreements;
- Effective organizational skills with proven ability to successfully juggle multiple tasks and priorities;
- Ability to work independently;
- Excellent analytical skills with ability to interpret and synthesize information gathered from a variety of sources into reports;
- Excellent interpersonal and public relations skills;
- Advanced skills in MS Word, Excel, PowerPoint, Adobe; Web administration expertise;
This position has been deemed eligible for educational equivalencies.
Hours of work: This is a full-time limited term position with an anticipated end date of August 24, 2026. The normal hours of work are 8:30 am to 4:30 pm, Monday to Friday. Flexibility in hours will be required.
Compensation
Level: D
Rate of Pay:
$37.22 - $39.35 per hour
