We have one temporary full - time position located in SE Calgary.

Working hours will be a total of 37.5 hours, Monday - Friday, 8:30am-4:30pm.

Program Summary

The Calgary Alternative Residential Services (CARS) program assists individuals with developmental disabilities to become more independent through skill acquisition, empowerment and full inclusion in society, thus improving their quality of life. The CARS program focuses on ‘person centered planning’ – people supporting people – based on the individual’s needs. Through a self-directed process, the individual will be assisted in identifying areas of support that are important to them and will contribute towards their personal goals.

Job Summary

The Residential Administrative Assistant role with Calgary Alternative Support Services, Residential Services (CARS) program, provides critical support to the CARS Community Support Coordinators (CSC) and the CARS Program Manager. The Residential Administrative Assistant is responsible for administrative duties required by policy, funders and program operations.





The Residential Administrative Assistant assists CSCs’ and the Program Manager with the coordination and completion of required client documents. They are responsible for accurate and confidential record keeping and client document preparation and completion.

Key Responsibilities to:

Client

- Establish respectful and professional boundaries while developing positive working relationships with clients.
- Establish and maintain a positive professional working relationship with client guardians and client supports where applicable.
- Coordinate, schedule and attend Individual Support Plan (ISP) review meetings with assigned CSCs.






- Use active listening to capture the goals of the clients’ and accurately and professionally write them up following the guidelines of the program and funder.
- Work with the CSCs’ to ensure all client documentation remains up to date, including ISPs, consent forms, assessments and plans, and client files.
- Facilitate the involvement of support networks and all relevant stakeholders, such as PDD, other agencies, programs and family/guardian(s).

Agency/Residential Services Program (CARS)

- Understand and adhere to CASS Policies & Procedures and program specific expectations as defined in program Operations Manuals.
- Responsible for regularly checking email communications.
- Complete client and agency specific paperwork in a timely fashion.
- Utilize the CASS employee management system for designated tasks.
- Input case notes into CASS database; PEAK






- Responsible for quarterly reporting on client outcomes.
- Adhere to Health & Safety policies in accordance to CASS policy & procedures and Alberta OHS legislation.
- Maintain valid certification in all core training/employment requirements, and any additional
- training as assigned based on role expectations.
- Participate in ensuring program outcomes are being met.
- Meet the standards laid out by accreditation bodies (Ex. Creating Excellence Together – CET) and ensure thorough program preparation is completed for accreditation.
- Regular correspondence with CSCs’ and Program Manager.
- Attend scheduled program and office meetings.
- Other administrative duties as required.

Key Relationships & Stakeholders

Client: Individual receiving support through CASS. Our obligations include ensuring we are providing positive and focused support that are aligned with the client needs and goals while ensuring the client is as safe as necessary.

Community Support Coordinators: Responsible for developing services,





hiring and monitoring of all staffing supports while maintaining high quality of service for the clients. Development and design of Individual Service Plans, Risk Assessments and Behavioural Support Plans for the clients supported, with an emphasis on person centered planning and strength-based goals.

Guardians: An individual (private or public funded) appointed by the Court to safeguard and protect vulnerable adults who need assistance with or are no longer able to make all of their own decisions. Guardianship provides a range of decision-making options from less intrusive options, such as supported decision making or co-decision making, to full guardianship and trusteeship.

Support Network: Comprised of individuals of personal and professional nature that engage with the client to support them.

Qualifications and Experience







- Strong interpersonal skills
- Ability to accurately maintain and prioritize a fast-paced, high-volume workload
- Competency in report writing
- Ability to work independently and as a team member
- Demonstrates strong organizational and time management skills
- Ability to maintain confidentiality
- Highly detail oriented and focused
- Ability to approach situations with positivity
- Ability to adapt communication styles
- Display patience and flexibility
- Experience working in an administrative role is an asset
- Knowledge in supporting adults with developmental disabilities
- Expertise in Microsoft Office software including, Excel, PowerPoint, and Word

Preferred Education

- Diploma or Certificate in Human Services, Business Administration,





or other related discipline; and/or equivalent work experience
- Maintains and utilizes current Emergency or Standard First Aid that includes CPR/AED
- A current police information check with a vulnerable sectors search that is satisfactory to CASS

Other Required Skills

- A vehicle and valid driver's license is considered an asset.
