Position: Coordinator, National Teams
Location: Athletics Canada National Office (Ottawa)
Reports to: Senior Manager, National Teams
Classification: Full-Time
Remuneration: Commensurate with experience
Overview
Athletics Canada is the national sport organization for track and field, cross county, road, mountain, ultra and trail running. Its purpose is to support high performance athletics excellence at the domestic and international level and to provide leadership in developmental athletics in partnership with its provincial/territorial branch partners. Athletics Canada is a not-for-profit, charitable organization operating under a Board of Directors elected by provincial/territorial members.
The National Teams Coordinator assists in the planning and implementation of initiatives of the National Teams Unit within Athletics Canada’s High Performance Program. The Coordinator will work collaboratively with the High Performance team staff to deliver world class operational and logistical support to national team members. The Coordinator role is primarily a non-travelling role based at the National Office in Ottawa.
Duties and Responsibilities
- To work with the National Teams Unit team to ensure the operational success of national team training camps and competitions, including (but not limited to):
- Supporting the National Teams Managers in the preparation, maintenance and execution of detailed project plans.
- To act as non-travelling Team Coordinator for assigned camps, competitions and tours as assigned.
- Preparation of athlete and staff selection documentation.
- Communicating with athletes, coaches, managers and support staff to confirm travel arrangements, ensure required documentation is complete, etc.
- Booking all logistical requirements such as accommodation, ground transportation, flights, etc.
- Liaising with Local Organizing Committees, facility managers, Canadian Multi-sport organisations and other relevant local vendors.
- Distributing post-event questionnaires, collating results and producing post-event reports.
- To coordinate the uniform process for National Teams including:
- Inventory management;
- Team Outfitting processes for NTU;
- Annual orders.
- To administer annual National Team athlete and staff declaration processes.
- To administer athlete and coach screening and compliance requirements within the High Performance department.
- To coordinate the budget of the assigned activities in conjunction with the Senior Manager, National Teams and drive value for money.
- To provide administrative support to High Performance Leadership travel, including booking of flights, accommodation, expenses, etc.
- To coordinate the High Performance Newsletter, ensuring consistent quality, tone, translation.
- To coordinate athlete and coach funding and bursary programs, including preparation of selection and nomination documentation, communication with athletes/staff regarding requirements, deadlines, etc.
- To complete any other related tasks as reasonably assigned.
- To act as an exemplar of the HP Values and Behaviours.
Qualifications
Experience
- Experience with Microsoft Office, Outlook, Word and Excel, is essential.
- The following experiences and skills are not required but will be an advantage:
- - Working in a High Performance sporting environment.
- Working with multiple stakeholders.
- Managing a budget including reporting, expenses, cash consolidations, etc.
- Extensive use of third party software packages and databases.
Qualifications
- Ability to communicate effectively in French and English is essential.
- College or university degree, in relevant subject, is preferred.
Work Location
The successful candidate will be required to work onsite at the National Office located in Ottawa, ON.
Compensation
Commensurate with experience.
