Job Purpose

Reporting to the Community Events Manager, this position will provide administrative support to The Food Bank’s events team. The Food and Fund Drive Coordinator will work to drive fundraising initiatives and further fundraising goals of The Food Bank of Waterloo Region. There will be a strong focus on assisting with the administrative side of our Food and Fund Drives, fundraising events, partnerships, donor stewardship, and mailings.





The Food and Fund Drive Coordinator will work within the established policies and procedures of The Food Bank of Waterloo Region.

The short-term focus of this role will change from year to year, as priorities of The Food Bank change, and will be detailed in the annual work plan.

Responsibilities and Duties

EXAMPLES OF THE ROLE'S RESPONSIBILITIES AND DUTIES INCLUDE BUT ARE NOT LIMITED TO:

1. Collaborate with and support various Food Bank departments, especially the Fundraising/Development and Events teams, as well as external contacts, to drive fundraising initiatives and further organizational fundraising goals:
- Working with the Community Events Manager and Community Events Coordinator to support and execute both community events and Food and Fund Drives (with the primary focus on Food and Fund Drives). This support will include but is not limited to creating basic marketing communications and webpages, preparing supplies and instructions, data entry, and other tasks such as event planning and execution where needed.






- Working closely with the Community Events Coordinator to schedule volunteers for events and attending events as needed to provide event and volunteer support.
- Working closely with the Engagement Coordinator to foster relationships and explore engagement opportunities at The Food Bank.
- Fostering positive relationships and working in close collaboration with external Food and Fund Drive coordinators (i.e., community members) to ensure their events are organized and successful.
- Assist with the administration tasks of the fundraising/development team, such as creating welcome and/or sponsorship packages, donor thank you letters, and tracking of metrics.
- Executing donor stewardship plans, including sending mailings and emails, as well as conducting thank you calls.






- Working with The Food Bank’s Marketing and Communications department to ensure communications are branded appropriately.
- Assisting Food Bank team members in creating and implementing relationship development strategies designed to maximize financial support for The Food Bank.
- Providing backup to the Engagement Coordinator for the coordination and execution of The Food Bank's engagement programs.

- Participating in and contributing to cross-functional teams, projects, and activities:

- Contributing as a member of cross-organizational projects to achieve aggressive business development and fundraising targets.
- Participating in team and staff activities with a responsibility to present donor development updates, campaign summaries, and lunch ‘n’ learn presentations based on professional development opportunities.






- Providing project management support for project teams for development-related and special projects including events.
- Participating in activities, initiatives, and special projects as requested.

- Perform other duties as required.

Location and Hours

- The Food Bank of Waterloo Region is located at 50 Alpine Court in Kitchener, Ontario.
- The role is required to be onsite for the work week.
- Hours of work are generally between 8:30 am and 4:30 pm, Monday-Friday, for 40 hours per week (inclusive of 1 hour paid lunch each day). However, to meet the objectives of The Food Bank and commitments to our volunteers, members, and community, some irregular hours may be required. This would include no more than two evenings a week and/or two weekends a month.

Reporting Structure and Working Relationships







- The Development Coordinator reports to the Community Events Manager.
- This role is an integral part of our Development team.
- A significant amount of time in this role is spent working with other members of The Food Bank's Development team.

Qualifications

Experience and Assets

- Minimum of 1-2 years' experience in a similar role.
- Previous experience in sales, customer relations, administration, and/or fundraising preferred.
- Experience in a not-for-profit environment an asset.
- An understanding of issues around food insecurity and poverty, especially within the Waterloo region, is an asset.

Education and Certifications

- Post-secondary diploma/degree with a vast array of coursework in fundraising, not-for-profit management, and data analysis is preferred.
- Valid G license preferred.






- Access to reliable transportation is necessary, as local travel throughout Waterloo region may be required.

- 70% desk or computer work including meetings.
- 30% standing or walking on concrete surfaces.
- Some bending and/or twisting of back and neck.
- Some lifting, carrying, pushing, pulling from/to floor and from/to/above shoulder.
- Some sustained or awkward positioning.
- Sustained activities requiring far, near vision, computer screens, speaking and hearing.
- Physical environment: indoors, shared office space with some exposure to warehouse (some exposure to cold/heat, dust and dirt, noise, and fumes).
- Some local travel within Waterloo region (i.e., to internal and/or external events)
