Compensation Range

In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.

UBC Sauder’s Robert H. Lee (RHL) Graduate School delivers all aspects of a portfolio of six professional graduate degrees in business, independent of the Faculty of Graduate + Postdoctoral Studies. RHL works closely with multiple and distinct stakeholders - faculty,





employees, students, business community and alumni - to remain competitive through the delivery of an exceptional student experience.

The Manager, Program Administration is responsible for providing leadership and direction to Senior Program Assistants and Coordinators to deliver and improve the long-term and day-to-day value, quality and effectiveness of services and programs pertaining to:

- Student records, advising and registration support, awards, and exam coordination;

- Student engagement & communications (onboarding, opening week, communications, community development, events);

- Integrated & global programming.

The incumbent works closely with the Student Experience management team to create, implement,





manage and execute programs and initiatives that increase student engagement and satisfaction and support student success.

Organizational Status
Reports to the Director, Master’s Programs, with secondary reporting line to Director, MBA Programs. Receives direction from the Assistant Dean and RHL senior leadership, and works in collaboration with managers, and administrative team.

Work Performed

Program Administration

- Works closely with the Student Experience management team to create, implement, manage and execute programs and initiatives that increase student engagement and satisfaction and support student success.

- Works with all RHL Student Experience Managers to review annual program project plans, determine program priorities,





and reallocate workflows to support shifting priorities.

- Oversees the creation and execution of annual work/project plans for the Student Experience team to ensure consistency and efficiency in all functional program delivery areas.

- Assesses efficiency of work processes and procedures, identifies issues, researches best practices and revamps systems and protocols to appropriately meet changing unit needs. Ensures all procedures are well documented and are updated on the unit’s wiki on a regular basis.

- Works closely with Managers and Directors to provide advice on matters relating to complex issues, operations, procedures, regulations and interpretations of the collective agreement.

- Liaises, develops and enhances positive relationships with employees,





faculty, students, central UBC units and senior-level managers and administrators at UBC.

- Organizes and chairs meetings and faculty committees related to student and faculty affairs. Represents RHL in various committees and events.

- Supports the RHL in retaining students throughout the onboarding process. This requires in-depth knowledge of the professional graduate programs as well as the University's admission procedures, policies and services.

Human Resources and Financial

- Manages a team and provides leadership and direction to a team of Senior Program Assistants and Coordinators to deliver and improve the long-term and day-to-day value, quality and effectiveness of services and programs.







- Builds a strong and positive team environment that adheres to standards as set out by UBC and UBC Sauder policies, collective agreements, WorkSafe BC and other work regulations.

- Identifies and manages training requirements including cross-training and coverage support. Participates in the onboarding of new team members, including preparing and delivering presentations.

- Oversees initiative-specific budgets and expenditures for all events and program-related expenses and works with the RHL managers to assess and ensure financial year-end projections are met.

- Provides back up coverage to other Managers in the RHL Graduate School.

- Assumes responsibility for special projects assigned by the Assistant Deans and Directors.







- Maintains ongoing awareness of UBC and UBC Sauder policy and procedural changes and provides information and guidance to the team.

Data, Research and Reports

- Prepares reports and surveys, compiles statistical data and conducts research to support the strategic priorities of the RHL Graduate School, including liaising with external organizations and institutions. Maintains confidentiality in accordance with UBC privacy regulations and law.

- Assesses student demands/service needs and designs, develops and delivers innovative and diverse student programming.

- Researches and analyzes the market to identify new program initiatives, and makes recommendations to the leadership team. Develops and implements new initiatives in line with the strategic direction and growth of the RHL.

Educational Systems + Technology

- Works with the RHL team, Learning Services, IT, and student groups to improve cohesiveness, ease of use, efficiency and cost effectiveness of various electronic resources for students, employees and faculty.

- Trains and provides expertise in relevant systems and technology platforms to the RHL team, including classroom learning management systems, Workday and Workday Student, survey tools, e-tools and other platforms.

- Acts as the lead for online exam invigilation, will require being on-call select Sundays.

- Researches and supports the development of online components and online courses.

- Performs other duties as required.

Consequence of Error/Judgement

Makes recommendations and decisions regarding the design, management and effective delivery of programs and services to ensure RHL student experience objectives, curriculum needs and HR and financial goals are met. Decisions impact the quality of academic programs and influence the effectiveness of student management. Inability to work cooperatively with students, employees and faculty would jeopardize the effective provision of programs and services to students. Poor management of employees or student workers may lead to inefficiency, discontent or grievances.

This position has the complex task of coordinating and balancing the distinct objectives of various stakeholders, often with conflicting interests and with limited resources. Decisions must be in line with school goals and integrate the vision and direction of the university. Poor decisions will have a long-term negative effect on the marketability of the programs and adversely impact the reputation of the UBC Sauder and the RHL Graduate School as well as the integrity of all RHL programs. Decision-making is based on a thorough knowledge of the policies and procedures of the University, UBC Sauder and Robert H. Lee Graduate School. The incumbent exercises considerable judgement and must demonstrate tact and discretion.

Supervision Received
Works independently under broad directions and with minimal supervision, occasionally consulting the unit Directors, Program Managers and the Senior Leadership Team. Consults with supervisor on complex policy matters or unusual situations.

Supervision Given
Manages a team of permanent employees and student workers. Hires, trains, provides ongoing feedback, sets job standards and priorities and manages the day-to-day activities.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three to four years of related experience, or an equivalent combination of education and experience.

- Willingness to respect diverse perspectives, including perspectives in conflict with one’s own

- Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion

Preferred Qualifications

- Business administration degree preferred.

- Significant experience in professional staff management, financial management and office operations preferred.

- Experience supervising in a unionized environment is preferred.

- Technical proficiency using management computer software applications.

- Excellent oral and written communication, interpersonal skills and organizational skills.

- Excellent judgment and the ability to make decisions independently.

- Ability to exercise tact, discretion and diplomacy when dealing with a variety of stakeholders.

- Cross-cultural experience is an asset.

- Ability to work flexibly on weekends or weeknights is required.
