Job Details
Position Title: Front Desk Coordinator
Status: FT Support
Hours per week: 37.5
Faculty/Department: Campus Services
Campus/Location: Lakeshore Campus (in-person)
Salary: FT Support Payband E (Start $28.78 - Max $33.37)
What you will do:
Under the direction of the Senior Administrator, Front Desk Operations, the Front Desk Coordinator ensures comprehensive delivery of front desk services at North and Lakeshore campuses all year round operations including: using appropriate software applications, front desk operations such as visitor management, package distribution, staff scheduling,
updating the Front Desk Operations Manual and conference season services such as guest check-in/out services, room occupancy coordination, short-stay portal set ups and other guest services. Participates in responding to emails and shared inboxes. Effective ongoing communication with conference team, residence administrative staff, residence life, maintenance and housekeeping staff is essential in ensuring guest and student/guest service standards are met. Occasional evening and weekend shifts are required during times such as training, move-in and move-out periods and open houses.
- Assisting in the selection, training, and coordination of work with the part-time front desk student staff
- Coaching and providing regular guidance to staff to ensure that front desk procedures and processes are current and are being practiced daily
- Conducting monthly meetings to ensure that staff are continuously receiving training on new procedures/policies, that issues are addressed, that staff are recognized for successes and that staff have an opportunity to provide feedback
- Coordinating the student staff evaluations
- Scheduling staff to ensure that the front desk has appropriate coverage throughout the year
- Developing, testing and documenting room management software procedures
- Reviewing and correcting daily front desk financial transactions and preparing journal vouchers
- Preparing for month end financial reconciliations
- Completing room assignments and monitoring occupancy for summer conference guests using room management software
- In conjunction with Conference Services, assisting with conference guests and on site group organizers
- Assisting in critical incident planning with campus partners
- Assisting with the marketing of the residence to current and future students, including participation in open houses and residence tours.
- Investigating possible violations of the residence policies, such as the Residence Code of Conduct
- Assigning outcomes within the guidelines of the Residence Code of Conduct, such as educational sanctions or loss of privileges
What you bring to the role:
Education
The successful candidate will possess a two-year diploma or equivalent in Business Administration, Hospitality, or a related field.
Skills and Experience
The incumbent will have 1-2 years of progressively related work in a customer service environment combined with demonstrated strong leadership skills.
