Vancouver Coastal Health is looking for a Program Administrative Assistant to join the STOP AIDS-HIV Initiatives at Three Bridges Community Centre Vancouver, BC. Apply today to join our team!
As an Administrative Assistant you will:
- Provide administrative services and program support for Addictions and/or HIV / AIDS Services.
- Act as a receptionist, schedule and confirm client appointments, create and maintain client records, receive and distribute client laboratory reports, and organize and process methadone applications
- Perform word processing and transcription duties such as:
- arranging, attending and taking minutes of meetings,
- maintaining and compiling statistics,
- assisting with research and other special projects,
- setting up and maintaining electronic and paper filing systems,
- and receiving incoming/outgoing material.
- Maintain inventory of program supplies,
arrange for maintenance and repairs to the office and office equipment, operate office equipment, orient new and relief team members to the administrative policies and procedures, and engage in on-going team planning, and quality improvement activities.
About STOP HIV-AIDS Initiatives:
The STOP HIV Outreach Team is an intensive case management team comprised of nurses, social workers and outreach workers who follow HIV+ individuals with challenges engaging or maintaining their linkage to care and/or adhering to their treatment programs. Over time the intent is to transition these clients to lower intensity resources as they develop and demonstrate increased ability for self-care. As a transitional team,
the level of support we provide to each client is on a continuum and will vary depending on where the client is in relation to their care plan.
Qualifications
Education & Experience
- Grade 12 supplemented with an approved Medical Office Assistant/Secretarial program.
- Three (3) years’ recent related experience, or an equivalent combination of education, training and experience.
Knowledge & Abilities
- Knowledge of office practices and procedures.
- Knowledge of and proficiency in relevant software, including word processing, spreadsheet, graphic and database software application.
- Ability to work with marginalized people struggling with severe illnesses and chemical dependency.
- Ability to communicate effectively both verbally and in writing.
- Ability to work independently and in cooperation with others.
- Ability to plan, organize, and prioritize work.
- Ability to analyze, problem solve and take initiative.
- Ability to work with frequent interruptions and adapt to changes.
- Ability to perform relevant calculations.
- Ability to compile information.
- Ability to operate related equipment.
- Business writing skills.
- Physical ability to perform the duties of the position.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.
As per Ministry of Health policy,
all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks. For all new hires and appointments to Vancouver Coastal Health, you will be asked to provide this information as part of the onboarding process.
