POSITION OVERVIEW
The Wellness Leader is responsible for administrative and receptionist services in the Wellness Office. They are responsible for assisting in ensuring that the CSI health plan is running at its maximum potential and meeting the current needs of students.
In carrying out the duties of this position,
a great deal of autonomy is exercised with final overview by the Wellness Coordinator. A high level of customer service and confidentiality is expected in the Wellness Office; it is crucial that the Wellness Leader recognizes that service to students is a top priority in all activities.
You will learn to:
- Receive, process and distribute communications in the workplace to assist the flow of information.
- Locate, file and retrieve documents and records from a variety of electronic and paper sources to support daily office operations.
- Produce routine business documents using available technologies and established standards and formats.
- Manage various customer service and collaborative situations using interpersonal skills, critical thinking strategies, and relevant negotiation and conflict resolution skills to ensure a professional level of customer care.
DUTIES AND RESPONSIBILITIES
Office and Reception
- Provide services to Conestoga College students in a manner that is safe, respectful,
courteous and professional at all times as directed by the Campus Service Coordinator and the CSI Customer Service Standard
- Primary reception duties, greeting clients and responding to inquiries in a professional and timely manner to communicate accurate information and details about the health plan, chiropractic, massage therapy and physiotherapy services
- Answer telephone calls and respond appropriately to clients over the telephone; make phone calls to clients to provide reminders of upcoming appointments
- General office filing
Administration of Health Services
- Input forms for massage therapy, physiotherapy and chiropractic services into database when
- Create new client files and ensure appropriate paperwork is completed properly for massage/physiotherapy/chiropractic clients
- Input and maintain client information in the database
- Process payments and invoices for massage therapy, physiotherapy and chiropractic services using the POS system, ONE Card machine and debit/credit card machine
- Collect outstanding fees from clients
- Balance daily sales at the end of every shift
- Collect claim forms and submit to Sun Life Financial
- Maintain fresh clean linens at all times for massage therapy and physiotherapy use
Other General Duties
- Work in accordance with corporate by-laws, policies and procedures, particularly to the CSI Mission Statement
- Practice professionalism and impartiality when handling sensitive personal information
- Maintain confidentiality for business practices
- Strict adherence to Health & Safety laws, policies, and procedures
- Work in an organized manner where detail, accuracy, and confidentiality are critical
- Attend meetings and committees when
- Work with members of the College to build strong relationships between CSI and Conestoga College
- Mandatory attendance at monthly staff meetings and CSI-related training days
- Other duties as assigned
QUALIFICATIONS
- Must be enrolled full-time at Conestoga College and be a fee-paying student
- Preference may be given to those in programs such as Healthcare Administration and Service Management, Health Office Administration, Reception and Customer Service, or a related field
- Candidates must also be able to demonstrate the following:
- Excellent communication and customer service skills
- Highly organized and skilled time management
- Ability to balance multiple competing priorities while maintaining quality of work and meeting deadlines
- Understanding of respective policies and procedures to assist clients in resolving any concerns
STUDENT ELIGIBILITY
All students in this position must:
- Be in a full-time degree, diploma or certificate program at Conestoga College
- Maintain a full-time course load. Part-time studies may be allowed for students who are registered with Accessibility Services and require a reduced load
- For Fall term positions (September to December), students must be returning to full-time studies in the Winter term in order to be eligible.
- Have a valid Social Insurance Number
International students must also:
- Hold a valid Canadian study permit that allows on-campus employment
- Adhere to all requirements stated on their study permit
- Adhere to all Canadian student visa requirements
