About the Role – How you will Contribute to the Service:

We are seeking an Event Specialist (temporary as required role)





to support our Service’s HRPS corporate and community events. As a valued member of our Corporate Communications team, you will leverage your expertise in event planning and execution for the police service. You will take a proactive approach to delivering new and existing internal and external events that meet the needs of our organization and the community.

Here’s What You Will Get to Do:

- Plan and execute internal and external Halton Regional Police Service special events, festivals, and corporate programs.
- Create, update, and maintain a corporate and community event database, and administer an intake process to coordinate and prioritize requests.
- Work with organizers to plan internal and external events, to establish and monitor budgets, and to review planning progress.
- Organize logistics, including but not limited to:





securing venues and permits, suppliers, registration of members, travel arrangements, agendas, and other related event components.
- Assess and coordinate the involvement of police service members, including senior administration and volunteers in activities.
- Prepare briefs and recommend speaking notes for the Senior Leadership Team.
- Maintain databases and spreadsheets of program sponsors and donations, and income expenditures relating to projects.
- Make approved special event purchases and monitor expenditures to ensure they are within budget guidelines prepared in advance of the event.
- Assist Corporate Communications with the planning and delivery of internal/external promotional programs and materials.





May include preparing customized marketing and communications plans to maximize exposure and participation as well as meeting with partners to cross-promote
- Attend and ensure the seamless execution of assigned events. Includes arranging and assisting with all aspects of set-up, delivery of equipment, site management, issues resolutions, and take down.
- May give presentations at or host events (e.g. act as the Master of Ceremonies (emcee)).
- Lead or assist with post-event evaluations and debriefs, including reports on attendance, trends, achievements, and areas for growth.
- Ensure compliance with, and adherence to, corporate policies and procedures, and that events are organized with a focus on inclusivity, considering different socio-cultural needs in accordance with the Service’s EDI directives.
- Other related duties as assigned.







What You’ll Bring to the Role:

Education, Certifications and Qualifications:

Minimum 2-year college diploma in event planning, business, tourism or hospitality management, or related field.

Experience, Knowledge and Skills:

Minimum 2 years of previous experience in corporate and/or community events planning, or volunteer organizing recreational or diverse/cultural events.

Note: The successful applicant will need to pass a background check to the satisfaction of the Service which will include reference checks with previous employers, verification of educational achievements, and a criminal background screen.

The starting salary for this role is $42.77 per hour and 4% vacation pay.

This position is based out of our Oakville Headquarters facility which is located at the QEW and North Service Road West.

Core Working Hours: 35 hours per week: Monday - Friday, with occasional evening/weekend work to support event initiatives.
