Inside the Role
The Executive Assistant provides high level, confidential support to four (4) Regional General Managers (RGM) of Sales at Daimler Truck North America (DTNA) (Vocational and On Highway. Two in United States and two in Canada). This position handles preparation and planning for internal and external meetings, arranges detailed travel plans, manages a complex schedule, composes, and prepares emails, and ensures appropriate preparation for each calendar item. In addition, the Executive Assistant will participate in projects and run reports as needed. Position offers a starting salary range of $24.27/hr. - $31.00/hr. USD
Pay offered dependent on knowledge, skills, and experience.

What You Drive at DTNA:
- Perform specific Canadian administrative duties which can include sensitive documents related to the following areas customs, tax, legal, company vehicle, Ontario Motor Vehicle Industry Council,
electronic New Vehicle Information Statement, and truck invoice adjustment. Periodically required to be in the Canadian local office for in person tasks.
- Support specific United States specific responsibilities for US based RGMs.
- Sales is a fast-paced environment that requires the ability to multitask and confidently navigate priorities and duties; the applicant should display a high degree of flexibility as the daily routines are subject to unforeseen changes and challenges.
- Proactively manage executive’s calendar.
- Arrange and coordinate meetings by identifying priority and content.
- In concert with District Manager plan meetings and events; select event facilities, coordinate catering, and technical equipment as needed.
- Manage the brand merchandise inventory for the region / country.
- Assist with PowerPoint presentations for Dealer Visits or Upper Management, and other meetings as needed.
- Arrange domestic and international business travel, including air, hotel, and ground travel. Be mindful of visa requirements when applicable for Regional General Managers and support District Managers when required.
- Prepare and process expense reports, adhering to DTNA’s travel policy for Regional General Managers.
- Meet, greet, and interact with internal and external visitors and partners; provide hospitality and administrative support as needed.
- Stays knowledgeable of company’s top customers and maintains contact information for key client relationships and dealer roster.
- Effectively handle sensitive,
confidential, and proprietary information. Establish and maintain confidential files and records, releasing documents and other information requiring the use of discretion as to the nature of extent of distribution.
- Review operating practices and implement improvements where necessary.
- Act as point of contact and help enforce DTNA’s record retention policy in the RGM Office.
- On-boarding and overall staff support. Maintain departmental distribution lists, department contact lists, and understand districts.
- File and retain digital documents, as necessary.
- Work with RGM on departmental budget.
- Submit invoices for payment; work with Controlling, vendors, and accounts payable to resolve billing issues.
- Prepare and process various documentation and reports, including non-disclosure agreements.
- Manage office and business needs for supplies, materials, and other resources - Perform research for special assignments and prepare PowerPoint/Tableau or data analysis, and reports and recommendations.
- Foster Customer Experience and One Team, Best Team mindset within area of operation.
Knowledge You Should Bring:
- Associate degree OR 2 years of relevant experience in lieu of degree.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
- Must be able to work efficiently, courteously, and professionally within a team environment.

Exceptional Candidates Might Have:
- A solid knowledge of DTNA’s current office programs - Proficiency in Tableau and Adobe programs.
- Preferred bilingual with English/French
